    Employee Web Page Guidelines

Lexington County School District One maintains a Web presence to engage our employees, the public, students and students’ parents/guardians in the learning, to further the educational process and to increase communication.

All published material must have educational value, promote learning and/or support the district’s curriculum, guidelines, strategic plan, goals and policies.

No employee will use district resources for personal gain or profit. Accordingly, no advertising, sales or solicitations appear on district Web pages.

Each school or other site must have a current Annual Internet Use Agreement form for each employee on file at the school/site. Each employee must fill out a NEW form each year.Each principal will appoint a webmaster.

Appearance/Layout
  • Pages show clear evidence of overall design themes.
  • Graphics are of high quality and are of JPEG or GIF format.
  • All text is easy to read.
  • Format contributes to the logical flow of information.
  • Use original graphics that enhance page content.
  • Select backgrounds that do not make text difficult to read. Avoid both too bright and too low contrasts.
  • Present information clearly and concisely. No on likes to read lots of long paragraphs or text.
  • Use white space liberally. Do not cram information on a Web page.
  • Put the most important information first on the Web page and/or first in a list.
  • Use bold and italic sparingly and with purpose.
  • Restrict underlining to designating book titles and links.
  • Be consistent.
  • Use tables to organize information.


  • Content/Theme
  • Make purpose of Web page clear.
  • Use original material.
  • Ideas flow logically.
  • Information is accurate, complete and current.
  • Content is appropriate for audience’s age level.
  • Staff member’s Learning Village Web pages should include a welcome message or greeting, philosophy and/or mission statement, three recommended web sites with links, a graphic, a colored or wall papered background, and biographical information about the employee including college(s) attended, degrees earned, certification areas, e-mail address and/or telephone number where he/she can be contacted, etc.
  • Teachers’ Learning Village Web pages should also include a summary of covered instructional items or syllabus, an outline of daily events, information about one particular topic of study.
  • No web page contains objectionable material or points directly or indirectly to any objectionable material. (This includes political and religious material unless it relates directly to class content/instruction currently being studied.)


  • Copyright Issues
  • The Internet has grown from to a world-wide computer network. As an educational institution, we should be aware of and conform to all laws including copyright laws.
  • Many schools and departments have purchased clip art collections to use within their classrooms or departments. These collections include specific language regarding your rights to publish that clip art on Web pages.
  • Each Web page with copyrighted material should include an acknowledgement on that page which annotates the copyrighted material used. (Unless there is a clear statement that art, photographs or text are “public domain” and available to you for your free use, assume they are copyrighted. Do not use copyrighted material on web pages unless you get permission from the owner.)
  • This means that clip art taken from commercial or entertainment sites such as a movie site or an NBA site may not be included on a Web page unless you have obtained specific permission to do so from the copyright holder.
  • Each Web page gives a copyright statement and/or mark (which reserves the publisher’s right), the date the page was last revised/updated, and contact information for the school’s web master i.e. “Maintained according to Lexington County School District One Internet Publishing Guidelines by webmaster. ©2002. All rights reserved. Updated 07-08-02.”
  • Each Web page contains a link to the district’s disclaimer at http://www.lexington1.net/disclaimer.htm and is maintained according to Lexington County School District One Internet Publishing Guidelines.all links on the Web site work correctly;each page with copyrighted material includes an acknowledgement on that page which annotates the copyrighted material used (Unless there is a clear statement that art, photographs or text are “public domain” and available to you for your free use, assume they are copyrighted. Do not use copyrighted material on web pages unless you get permission from the owner.)

    Navigation
  • Navigation is consistent and easily understood.
  • Links relate to theme or interest areas and contribute to overall educational content.
  • All links or buttons on the Web site work correctly.
  • Navigation conventions are clear.
  • User is never lost or stranded.
  • Frames (if used) are targeted correctly and aid in navigation and user experience.
  • Links to district’s home page are present and standard.

    Spelling/Grammar
  • Web pages have no spelling or grammatical errors.
  • Use clear and concise writing.

    Student Information
  • You must have current parent/guardian permission (granted by the parent/guardian through Lexington One’s Directory Information Notice form) in order to include any information about a student on any Web page.
  • No student’s personal information (i.e. class schedule, home address, telephone number, e-mail address, name(s) of other family members) will appear on any school Web page.
  • No information will appear on any Web page that gives the physical location of a student at any given time other than his/her attendance at a particular school or participation in school activities.
  • No full names of primary or elementary students will appear with their photographs on any school Web page.
  • A photograph of any primary or elementary school student, kindergarten through Grade 5, may appear on a school Web page and may by identified by first name and first letter of the student’s last name only and only after receiving appropriate parent/guardian permission.
  • A photograph of any middle or high school student, Grade 6–9, may appear on a school Web page and may by identified by the student’s first and last name provided that the school has a current parent/guardian permission (granted by the parent/guardian through Lexington One’s Directory Information Notice form) on file.

    Student Projects
  • All student projects should relate to the curriculum.
  • Feature student projects clearly and make sure they include a variety of classes, levels or individuals.
  • Make sure projects are ongoing and current.
  • Projects should show strong evidence of editing and proofing.

    Technical
  • Design pages to load quickly.
  • Design pages to load correctly and quickly and to display correctly in both Netscape version 4.0 and above and Explorer version 4.0 browsers and above.
  • Users see advisory message before downloading material that requires specialized software programs or plug-ins and are given information about how to obtain software or plug-ins needed to use material.

    Timeliness
  • Update pages regularly.
  • Date material correctly.
  • Include correct e-mail addresses or home page addresses.
  • Make sure ongoing projects are truly current.
  • Use no “under construction” messages.
  • Remove outdated links and old information.
